Even though your wedding day is one of the greatest days of your life, planning and executing your actual wedding can be a little bit stressful. By carefully planning out your wedding day, you can create a wedding that looks effortless, stress-free and leaves you time to actually soak it up and enjoy the experience!
A well-planned wedding photography timeline strikes a good balance. It allows you to spend those quality moments with your guests but also allows your photographer all the opportunities they need to capture those posed or candid shots you have been dreaming about.
Wedding stress can not be underestimated, just the act of planning your special day and having an idea of what happens and when, means you can stay in the present moment and there are no hidden surprises or time constraints. You want your photo sessions not to feel rushed and you also don’t want to feel guilty about not being around your friends and family. Instead, you can enjoy the picture session at your leisure and still have plenty of time to get that cuddle from your distant aunt who you haven't seen since you were a child!
Discussing your Wedding Photography Timeline With Your Wedding Photographer
When I work with couples planning their wedding day, I like to speak with them early on in the process and discuss a detailed timeline. By discussing this timeline with your photographer ahead of time, the photographer can grasp the flow of events, use their experience to foresee those important moments, and plan their setups.
This proactive approach to your wedding day is something to get you ahead of the game, prevent any scheduling conflicts, and guarantee there is plenty of time to capture every important part of your special day.
What to ask your Photographer about Timing and Logistics
I love it when my clients come to me ready and prepared with a list of questions, to me it means they are organised and their wedding day will be a smooth one! Some important questions to ask your photographer are:
What time will you arrive and how long will you stay? Knowing a photographer's schedule helps ensure you have all the pictures you want from your wedding and reception too!
What style or approach do you favour? This gives you an idea of their style and how they prioritize their day. Are they more relaxed and candid or do they favor those posed for shots?

Can you provide a shot-list? This helps discuss specific shots so that if you have an important photo you need to take, they can be there and take it for you.
The Wedding Photographer’s Experience
An experienced wedding photographer can be a huge bonus to helping with your wedding day schedule. They can make countless recommendations that you may have not thought about. For example, the best time for portraits, ensure you are using the natural light when its at it’s best. They can suggest the best order of things, to make sure it's running smoothly, having learned the best ways from previous wedding shoots. They can foresee any potential delays and also work well with other vendors, such as the wedding planner, especially if they have worked with them before.
Your Sample Wedding Photography Timeline
Getting Ready (2-3 hours before the ceremony)
Capturing the bride and groom’s preparations is such a special part of the day. Through this candid photography, you can usually see the nerves or excitement. I usually start with the bride's hair and makeup, then move on to the groom's preparations. Don't forget to allow additional time if the groom is getting ready at a different location!
Wedding photography timeline with first look (30 mins to 1 hour before the ceremony)
The first question is are you going to do a first look? It's a private time for you and your partner to see each other before the ceremony. I love capturing the raw emotions of this special moment. Plus, it’s a great opportunity to get some beautiful portraits done ahead of time. It can be done pretty quickly but don’t forget to factor in any travel time and setting up of your shots.
Ceremony Wedding Shots (30-90 minutes)
There are a lot of variables involved here and the time these pictures take is obviously dependent on the length of the ceremony. For example, a religious ceremony can take over one hour and a civil service takes under one hour. It’s always best to consult with who you choose to conduct the ceremony as they know the best timings. From your arrival at the venue to the processional and recessional, these shots are all about the emotion and significance of the occasion, so don’t forget to add in travel too.
Post-Ceremony Family and Group Photos (1 hour)
I recommend about 30 minutes maximum for family or group photos. You can always grab other relatives or friends later after the ceremony when everyone is enjoying a celebratory glass of champagne. Try and keep your family group to less than 10 to make it more manageable too and a list of must-have shots is always good to have in mind, so everything runs efficiently. Bear in mind that light may be fading, so it's good to keep an eye on sunset time and also set some precious time aside for couple portraits. These are some of my favorite moments to capture the happy couple.
Wedding Reception Shots (2-3 hours)
The reception is all about celebration and often all the best dance moves come out! It’s time to capture your grand entrance, key events like the first dance, speeches, and cake cutting. And of course, all of the candid moments of you and your guests. These spontaneous shots often end up being some of the most cherished (and often funny!) memories.
Your photographer may also want to squeeze in those table decorations, guests mingling and champagne glasses clinking. If needed you can allow some additional time to capture the fun memories or even add a second shooter so nothing is missed!
Flexibility and Communication In Your Wedding Timeline
Weddings, like any major life event, can change very quickly, so having a flexible photographer is key. It’s always a great idea to discuss any unexpected changes and speak to your photographer throughout your day, to keep them fully informed so they can make sure they are in the right place at the right time to capture those perfect memories!
Tips for Maximising Time with Guests
Now you have the perfect wedding photography timeline, let's have a look at the other priority for the day, maximizing your time with your guests! Make sure you ACTUALLY plan the time aside for this and not just think about doing it. Actually planning the time is a game-changer! Here are my favorite tips -
- Schedule Some Well-Deserved Downtime - Make sure to schedule some downtime to relax and enjoy your guests. This could be during the post-ceremony cocktail hour or between key events. You can even schedule a quick 15 mins just with your partner, to take time, breathe, and appreciate all that is happening on your special day.
- Post-Ceremony Cocktail/Drinks Hour - This is a perfect time for candid shots and mingling with guests. It allows us to capture those natural interactions when everyone is a bit more relaxed and full of wedding spirit.
- Reception Mingling - During the reception, we’ll capture you interacting with your guests, which makes for some wonderful and spontaneous photos of you with your friends and family.
- Interactive Photo Opportunities - This is a great time to transition between key wedding moments. Consider having a photo booth, polaroid cameras, or other interactive photo opportunities. These are always a hit with guests and provide fun, memorable shots that don’t just rely on your in-demand photographer.
